Proving a document is authentic

Documents that originated from a completed Sign agreement carry their digital certificate and audit trail into Locker automatically. If a regulator, federal agency, or counterparty needs proof the document was processed on a valid platform, see Document Validity & Trust.


Document Lifecycle

Every document in Locker has a status that reflects where it is in its lifecycle. Documents start as Active when uploaded, can be Archived when their retention period expires, and are eventually Deleted based on your retention policy. A Legal Hold freezes a document at any point, preventing archival or deletion until the hold is removed.

Access

What you can do in Locker depends on your access level:

  • View and download documents, requires view access
  • Upload documents and manage versions, requires write access
  • Configure retention policies and legal holds, requires admin access

Troubleshooting

I can't delete a document. Documents can't be deleted if:

  • You don't have admin access. Deletion requires admin access. Ask your organization admin to check your role at Organization → Members.
  • The document is on Legal Hold. A held document is protected from all deletion until the hold is removed. Ask your organization admin or legal team to remove the hold first. See Legal Hold.
  • The document is Archived. Archived documents must be unarchived before they can be deleted. Unarchiving from the UI is coming soon, ask your admin to do this via the API today.

I uploaded a file but the old version is still showing. Uploading a new version to an existing document record is not yet available in the UI. If you upload the same file through the UI, Locker creates a new separate document rather than replacing the existing one. To upload a new version while preserving the full version history, use the Locker API. See Version History and API Integration. If you accidentally created a duplicate, ask your organization admin to delete it.

My document is stuck in "Archive Pending" or "Deletion Pending". These are normal transitional states, Locker processes them on a schedule, typically within minutes to a few hours. If the document has been in a pending state for more than 24 hours, contact Propper Support with the document ID (found in the URL on the document detail page).

Don't modify the retention policy while a document is in a pending state, this can cause unexpected behavior.

I can't find a document I know exists. The default document list shows only active documents. Start here:

  1. Check the status filter, switch to All to include archived and held documents.
  2. Search by exact name, content search ranks by relevance and may not surface it at the top.
  3. Check your access level, you can only see documents your role gives you access to.
  4. Check the Audit Log, if you think the document was deleted, ask your organization admin to check Organization → Audit Logs. Deletion events are recorded permanently even after the document is gone.
