Voiding agreements
Voiding cancels an agreement that is no longer needed or was sent in error. Once voided, all signing links are deactivated and recipients are notified. Voiding is permanent and cannot be undone.
Voiding is irreversible. A voided agreement cannot be re-activated or edited. Any signatures already collected are discarded. If you need to correct and resend an agreement, void the original and create a new one.
When to void
Void the agreement when:
- You sent it to the wrong recipients
- The document contains errors that must be corrected
- The terms or content changed after sending
- The agreement is no longer needed
- A duplicate was sent by mistake
Do not void if:
- A recipient is simply taking longer than expected — send a reminder instead
- The agreement is already Completed — completed agreements cannot be voided
How to void an agreement
- Open the agreement from Sign > Agreements.
- Click Void Agreement.
- Enter a reason for voiding (required).
- Confirm the action.
The agreement status immediately changes to Voided.

What happens when you void
Immediate effects
- The agreement status changes to Voided.
- All active signing links are deactivated immediately — recipients who click an old link will see a message that the agreement has been canceled.
- All recipients with pending actions receive an email notification.
- The voiding event is recorded in the audit log.
Recipient notification email
Pending recipients receive an email like the following:
Subject: Agreement Voided - [Document Name]
The following agreement has been canceled:
[Document Name]
Reason: [Your reason]
No further action is needed.
After voiding
- The agreement remains in your dashboard for record-keeping — it is not deleted.
- It is visible with Voided status and can be filtered out of active views.
- The complete activity history, including who voided it, when, and the stated reason, remains accessible.
- Voided agreements are included in audit logs.
Voiding vs. declining
These are two different actions with different initiators:
| Action | Initiated by | Effect |
|---|---|---|
| Voiding | Sender | Cancels the agreement for all recipients |
| Declining | Recipient | Individual recipient refuses to sign; moves agreement to Declined status |
If a recipient declines, you may choose to void and resend a corrected version, or address the recipient's concern and send a new agreement.
Permissions
Who can void an agreement:
- The user who created the agreement
- Users with the Agreement Manager role
- Organization admins
Who cannot void:
- Users who did not create the agreement and do not have a manager or admin role
- Anyone, once the agreement is Completed or already Voided
Writing a good void reason
Recipients see the reason you provide. Use a clear, professional explanation.
| Example | Notes |
|---|---|
Updated agreement with corrected pricing | Clear, professional, informative |
Sent to incorrect email address | Explains the issue without blame |
Request canceled by legal team | Provides organizational context |
Oops | Avoid — unhelpful to recipients |
For sensitive agreements (contracts, legal documents), consider notifying affected recipients directly before voiding so they are not surprised by the automated email.
Audit trail
Every void action is permanently recorded in the agreement's audit log, including:
- Who initiated the void
- The exact timestamp
- The reason provided
- Which recipients were notified
This record is preserved even though the agreement is canceled, ensuring a complete compliance history.
Alternatives to voiding
Before voiding, consider whether a lighter action would resolve the issue:
| Situation | Better option |
|---|---|
| Recipient has not signed yet | Send a manual reminder |
| Recipient needs more time | Extend the expiration date |
| Wrong person listed | Contact support about recipient reassignment |
FAQ
Can I undo a void? No. Voiding is permanent. Once an agreement is voided, it cannot be reactivated. Create a new agreement if you need to continue the signing process.
What happens to signatures already collected? If some recipients have already signed when you void the agreement, those signatures are discarded. The signers are notified that the agreement has been canceled. They will not need to take any action.
Does voiding an agreement affect my plan limits? Voided agreements do not count against your active agreement limits.
How long are voided agreements stored? Voided agreements are stored indefinitely for compliance and audit purposes. They are not automatically deleted.
What is the difference between Voided and Expired? A voided agreement is actively canceled by the sender. An expired agreement is one where the signing deadline passed before completion — neither the sender nor a recipient actively canceled it.
