Notifications
Automate follow-ups with reminders and expiration warnings. Propper handles the tracking so you don't have to, improving completion rates without manual outreach.
Notification types

Reminders
Configure reminders when creating or editing an agreement.
Settings
- Enable the Automatic Reminders toggle
- Set First Reminder — number of days after sending before the first reminder goes out
- Set Frequency — number of days between subsequent reminders
Notification defaults

Example with 3-day frequency:
- Sent: Monday
- First reminder: Tuesday (1 day after)
- Second reminder: Friday (3 days later)
- Third reminder: Monday (3 days later)

What reminder emails include: subject line, agreement title, sender name, signing link, days remaining until expiration (if set), and your custom branding when configured.
- Urgent agreements: First reminder after 1 day, then every 2 days
- Standard agreements: First reminder after 3 days, then every 3 days
- Low-priority or long-term: First reminder after 5 days, then every 7 days
Monitor your completion rates and adjust intervals accordingly. Too frequent can frustrate recipients; too infrequent reduces urgency.
Stopping reminders
Reminders stop automatically when:
- The recipient completes the agreement
- The agreement is voided or expires
- Reminders are manually disabled
To manually disable reminders on an active agreement, go to Agreement > Settings > Notifications and toggle reminders off.
Expiration
Set a deadline for agreement completion.
Configuration
- Enable Agreement Expiration
- Set Expires After — number of days from the send date (default: 30)
- Set Warning Period — days before expiration to send the warning email (default: 3)
Example with 30-day expiration:
- Sent: March 1
- Expiration warning: March 28 (3 days before)
- Agreement expires: March 31

What expiration warning emails include: "Your signature is due in X days", agreement title, expiration date, and an urgent signing link.
After expiration
Once an agreement expires:
- The signing link becomes invalid
- Recipients see an "Agreement expired" message
- No additional signatures can be collected
- Partially completed documents can still be downloaded
To extend the deadline: Go to the agreement and click Extend Deadline, set a new date, and recipients automatically receive a new signing link.
Voided: Manually cancelled — the agreement is permanently closed and cannot be extended. Expired: Time limit reached — the agreement can be extended with a new deadline.
Status updates
For senders
Propper emails you when key events happen on your agreements:

Configure which events trigger emails at Settings > Notifications > Sender Preferences.
For recipients
Recipients automatically receive the following emails:
- Signing invitation
- Routing notification (when it is their turn in a sequential signing order)
- Reminders (per the configured schedule)
- Expiration warning
- Completion confirmation

Custom messages
Add a personal message to signing invitations when you send an agreement. The message appears in the invitation email and is visible to all recipients.
When sending, enter text in the Personal Message field:
- "Please review and sign at your earliest convenience. Let me know if you have any questions."
- "Looking forward to working together — this agreement covers the terms we discussed."
Keep messages brief and professional. Avoid including sensitive information since all recipients on the agreement can see it.
Avoid words commonly flagged by spam filters: "free", "guaranteed", "click here", or excessive exclamation marks. A conversational, relevant message reaches inboxes more reliably.
Managing notification volume
For senders
If you receive too many emails, go to Settings > Notifications and disable:
- Viewed notifications — check agreement status manually in the Agreements list instead
- Reminder copies — reminders still go to recipients and are logged in the agreement history
For recipients
Recipients cannot unsubscribe from transactional signing emails, but they can:
- Complete the agreement promptly to stop receiving reminders
- Contact the sender to request the agreement be voided
- Whitelist

Setting defaults
Template-level defaults
Set notification defaults on a template so every agreement created from it uses the same settings. Users can still override these per agreement when sending.
Go to Template > Settings > Default Notifications and configure reminders and expiration.
Organization-level defaults (admins)
Admins can set notification defaults that apply to all new agreements across the organization.
Go to Settings > Organization > Sign Settings > Default Notification Settings.
Users can override these when creating or editing individual agreements.
Troubleshooting
Reminders not sending
- Verify Automatic Reminders is enabled on the agreement
- Confirm the recipient has not already signed
- Check the agreement has not expired or been voided
- Verify the recipient's email address is valid
To review reminder history, open the agreement and go to the Audit tab.
Recipients not receiving emails
- Ask the recipient to check their spam or junk folder
- Verify the email address has no typos
- The recipient's IT team may need to whitelist

If the issue persists, resend the invitation from the agreement page, update the email address, or contact the recipient through another channel.
Too many notifications
- Increase reminder frequency (fewer reminders, longer intervals)
- Disable Viewed notifications in sender preferences
- Use longer expiration periods for low-urgency agreements
