Status tracking

The Propper Sign dashboard gives you a real-time view of every agreement you have sent — who has signed, who has not, and where the process stands. This page explains agreement and recipient statuses, how to read the dashboard, and how to send reminders.

Agreement statuses

Agreement status reflects the overall state of the signing process across all recipients.

Terminal statuses cannot be changed. A completed agreement cannot be voided, and a voided agreement cannot be re-activated.

Recipient statuses

Recipient status reflects where each individual stands within the signing process. These are separate from — and more granular than — the overall agreement status.

Awaiting TurnRecipient is in the queue but a prior signer has not yet completed their step
ActiveRecipient has opened the signing session
SignedRecipient has completed all required tags and submitted
ViewedRecipient has viewed the document (applies to Receives a Copy recipients with delivery confirmation)
DeclinedRecipient refused to sign
DismissedRecipient dismissed without completing the required action

When one recipient in a sequential agreement has status Declined, the overall agreement status also moves to Declined. All other pending recipients are notified that the agreement has been canceled.

The agreements dashboard

Agreements list

Navigate to Sign > Agreements to see all agreements for your organization. Each row shows:

  • Status indicator with color coding
  • Recipient progress (e.g., 2 of 3 signed)
  • Last activity date
  • Quick action menu

Filtering the list

Quick filters for common views:

  • Needs Attention — agreements that have been sitting without activity
  • Expiring Soon — agreements approaching their deadline
  • Recently Completed — agreements finished in the last period

Agreement detail page

Click any agreement to open its detail page. Here you can see:

  • The current agreement status
  • Each recipient's individual status
  • A full activity timeline
  • The document list with download options (for completed agreements)

Real-time updates

The dashboard updates automatically as recipients take action. Status changes, views, and signatures appear without requiring a page refresh.

Example activity feed:

Sending reminders

Manual reminders

Send a reminder to one or more recipients at any time from the agreement detail page:

  1. Open the agreement.
  2. Click Send Reminder.
  3. Select the recipients you want to remind.
  4. Add an optional custom message.
  5. Click Send.

Manual reminders are useful when a deadline is approaching or when you need to prompt a specific recipient.

Automatic reminders

Automatic reminders are configured in your template's notification settings before sending. The defaults are:

Once the maximum number of reminders has been sent, no further automatic reminders are dispatched. You can still send manual reminders at any time.

To change reminder defaults for future agreements, update the notification settings in your template.

Email notifications

Notifications sent to you (the sender)

  • Agreement sent confirmation
  • Recipient viewed the agreement
  • Recipient signed
  • Agreement completed
  • Agreement declined
  • Expiration warning

Notifications sent to recipients

  • Signing invitation
  • Automatic reminder emails
  • Completion confirmation (copy of the signed document)

Configure notification preferences under Settings.

Activity timeline

Every agreement has a full activity timeline showing every event from creation to completion (or terminal state). Each entry includes:

  • Event type (sent, viewed, signed, reminder, etc.)
  • Timestamp
  • Initiating user or system action
  • IP address (for signing events)

The timeline is part of the audit record and is included in the audit certificate.

Search and filter

Use the search bar at the top of the agreements list to search across recipient names, email addresses, and document names. Combine search with status filters to narrow results further.

Troubleshooting

Status is not updating Refresh the browser. If the status still appears stale, check your internet connection. Status changes are processed in real time, but brief delays of one to two minutes can occur during high activity.

Recipient says they signed, but their status still shows Active or Pending Verify that the recipient completed all required tags — partially completed agreements are not submitted. Ask the recipient to confirm they clicked the final Submit button. Review the activity timeline for any error events.

Agreement shows wrong status The system may still be processing a recent action. Wait one to two minutes and refresh. If the status does not update, contact support.
