Data Retention
Every evidence bundle has an expiry date. When that date passes, the record — including the agreement snapshot, user details, and PDF certificate — is permanently and automatically deleted. This cannot be undone.
The default retention period is 7 years (2,555 days), which aligns with common requirements for contracts and consent records.

Setting the retention period for a template
Retention is configured per template, so you can set different periods for different types of agreements.
- Open the relevant Template in Click.
- Go to Settings → Evidence Retention.
- Enter the retention period in days.
- Click Save.
Changes apply to evidence created after saving. Existing records keep their original expiry dates.

Discuss with your legal team. Common starting points: GDPR — active consent period plus a reasonable dispute window (many organisations use 3–7 years); ESIGN/UETA — 7 years is standard practice for contracts; CCPA — at minimum, the duration of any ongoing legal matter.

Why records can't be deleted early
Evidence is stored in write-protected storage — once created, a record cannot be modified or deleted before its expiry date, even in response to a GDPR right-to-erasure request. This is intentional: the legal value of a consent record depends on its immutability.
Most data protection authorities recognise audit record preservation as a legitimate exception to the right to erasure. Confirm how this applies to your organisation with your legal team.

The expiry date is shown in the Summary section of every evidence bundle detail view.
